Whether you’re a startup, SME, or multinational, Public Relations (PR) provides significant added value for everyone. However, it’s not a magical trick that will get you on the front pages overnight; it’s a long-term effort. What you sow today, you won’t necessarily harvest tomorrow. That’s how PR works too.
The key to success lies in a solid PR plan that is based on your organization’s mission, vision, and strategy. So, don’t start with inconsistent or poorly thought-out actions; instead, focus on creating a strategic PR plan. Would you like to write your own PR plan for your organization? We’ve outlined 7 simple steps to get you started.
What is a PR plan?
A Public Relations (PR) plan concretely outlines your organization’s PR strategy. It describes the objectives, target audiences, and messages for the focused PR campaigns you want to use to build your image. The PR plan also identifies which media, channels, internal spokespeople, and external partners or influencers you want to engage in its execution.
“The key to a good strategic PR plan lies in a structured approach that takes into account the overarching mission, vision, and strategy of your organization.”
Why a PR plan?
PR is not a quick fix and only delivers results with a consistent, structured approach over the long term. This is how you stand out, build valuable press relationships, and establish a clear image. A solid PR plan always starts from the current situation. Based on this, you identify objectives and chart the path to achieve them.
What should be included in a PR plan?
How does a PR plan look, and how is it structured? We help you create a strategic PR plan in 7 simple steps and provide you with a ready-to-use PR plan template so you can get started right away.
- Identify your PR objectives and focus
It is generally known that the best results are achieved when you work towards a specific goal. The same applies to PR. Start from your business objectives and think about how PR can contribute to them. Translate this into concrete PR objectives and a PR strategy. Make sure these objectives are SMART (Specific, Measurable, Achievable, Relevant, and Time-bound). - Who is your target audience?
Consider the target audience(s) you want to reach. For each target group, you will need to present your message in a different way. Create a persona that defines what your ideal customer looks like (e.g., age, interests, job, etc.). A persona will make it easier to tailor your company’s message to the target audience. - Choose the right media
The persona you create will also give you a clear idea of the types of media your target audience reads and uses. This will allow you to communicate in a more targeted way. Additionally, you will quickly determine how best to adapt your message depending on the chosen medium. - Define PR actions
Now that you know what you’re going to communicate, to whom, and through which media, it’s time to define concrete PR actions. Will you opt for a press conference, a press release, in-depth interviews, a vlog, testimonials, a podcast, blog posts, etc.? - Create a PR calendar
All the PR actions you identify form a campaign. Plan these actions, taking into account editorial calendars and the timing of other communications within your organization that you can leverage. Schedule important moments and ensure you allocate enough time for preparation. - Prepare your organization
There’s nothing worse than a great PR plan that hits an internal wall. Think carefully about the information you need. Assemble an internal team to help gather that information. Also, consider who will serve as the spokesperson. This could be different people for each topic. Do they need media training? Make sure to schedule this in advance. - Measure, track, and adjust
Now that the hard work is done, it’s time to assess the results. Thanks to your SMART PR objectives in your PR plan, it’s easy to evaluate which actions were successful and which were not. This gives you a good understanding of what works and where adjustments are needed. Don’t settle for a small success too quickly. Keep taking action and measuring over the long term to see if your PR strategy is leading you where you want to go. Are you building the right image for your organization?
